Time Off is an app for Jira Cloud that lets a team request, approve and track leave. This page explains exactly what the app stores, where it stores it, and who can read it.
Everything the app stores stays inside Atlassian's own cloud storage for your site. The app has no servers of its own, sends nothing to any third party, and contains no analytics or tracking of any kind.
Leave balances are never stored. They are recalculated from the requests every time a screen is opened.
A note attached to a leave request may say why someone is away (for example, an illness). The app treats those notes as private: only the person who wrote the request and the people who can approve leave can read them. They are never shown in the team calendar or in anything the rest of the team sees. Please avoid putting medical detail in a note that you would not want your manager to read.
All data is held in Atlassian Forge storage, inside the Atlassian cloud region of your own Jira site. The app is built on Forge with no external network access, which means the data physically cannot be sent anywhere else. Data is kept for as long as the app is installed on your site. When a Jira administrator uninstalls Time Off, Atlassian deletes the app's storage for your site as part of its normal uninstall process. If you want data removed sooner, or want a copy of what is held about you, write to the support address below and it will be handled within 30 days.
Once a week, on its own, the app tells Atlassian which accounts it still holds information about and asks whether any of them have changed. If Atlassian answers that an account has been closed, the app erases that person's name from its records straight away. If Atlassian answers that a profile has been updated, the app fetches the current name so that no stale copy is kept. The leave history itself stays — it is the company's record of who was off work and when — and a manager can erase it at any time from that person's row under People.
Nothing on any screen starts this, and no administrator has to remember it. It runs whether anyone is watching or not.
If you are in the European Union or the United Kingdom, the GDPR gives you the right to access, correct, export or delete your personal data. In practice, your employer (the company that installed the app) is the data controller and the app is the processor, so the quickest route is usually to ask your own administrator — a manager can erase everything the app holds about one person from that person's row under People.
